Job Description – Executive Assistant to Founder Position: Executive Assistant (EA) to Founder Location: Udaipur, Rajasthan Organizations: The Design to Desire – Interior Architecture & Vastu Consultancy (Est. 1998) VERVE – The School of Design & Vastu (Est. 2004) Founder is also Convener of INTACH Udaipur Chapter and associated with multiple NGOs and heritage initiatives. About the Role We are seeking a highly organized, proactive, and versatile Executive Assistant to Founder who can act as the Founder’s right hand. The role primarily involves supporting the Founder in his work as an Interior Designer, Architect, and Vastu Consultant , while also extending into his commitments in education, NGOs, and heritage activities. (Please note : This is a Udaipur-based role with compensation structured accordingly. We are looking for candidates who value the unique exposure and growth path this position offers, rather than only high salary expectations.) The EA must be system-oriented, strong in follow-ups, and highly organized — someone who can ensure no task is missed, urgent matters are immediately flagged to the Founder, and coordination across multiple stakeholders runs smoothly. The ideal candidate should combine efficiency with a polite and professional demeanor , ensuring the Founder’s time is optimized and focused on high-value work. Key Responsibilities1. Operations & Team Coordination Follow up with employees of Verve – The School of Design & Vastu and The Design to Desire . Ensure all client leads, calls, and deliverables are addressed on priority. Track productivity and flag issues/delays to the Founder. Allocate tasks to team members as per Founder’s directions and monitor progress. 2. On-Ground Assistance & Content Capture Accompany the Founder to site visits, client meetings, and professional events. Capture photos/videos for documentation and social media. Preferred: basic editing skills for quick content turnaround. 3. Stakeholder Coordination (NGOs, Heritage & Social Service) Coordinate with INTACH and other NGOs the Founder is associated with. Handle emails, communications, and follow-ups with external stakeholders. Support the Founder in executing heritage and social initiatives, ensuring his time is saved for core leadership. 4. Hiring & HR Support Draft JDs, manage postings, and conduct initial screenings. Conduct preliminary discovery calls and present shortlisted candidates. 5. Finance & Administration Maintain daily expense sheets for both companies. Coordinate with accountants for reconciliations and timely submissions. 6. Vendor & Client Coordination Source vendors/materials (e.g., tiles, furniture, design resources) based on Founder’s references. Collect quotes, negotiate basic terms, and prepare shortlists. 7. Branding, PR & Marketing Coordination Liaise with PR/branding agencies to ensure content and deliverables are on track. Preferred: assist in marketing collateral (basic brochures, updates, photo/video library). 8. Event, Seminar & Outreach Coordination Manage logistics, travel, and presentations for Founder’s invitations at talks, conferences, and seminars. Proactively reach out to organizations, forums, universities, and heritage/design networks to secure speaking opportunities. Manage event briefs, prep materials, and post-event publicity. 9. Personal Assistance Manage personal errands, scheduling, and travel planning. Sync personal and professional calendars without conflicts. 10. Research & Knowledge Support Conduct research on design trends, vastu concepts, heritage projects, and educational insights. Maintain a digital knowledge repository for quick access. Key Skills Required System-oriented mindset – ability to create, maintain, and follow structured processes for smooth operations. Strong follow-up & coordination skills – proactive in tracking tasks, deadlines, and ensuring timely closure. Attention to detail & strong memory – should remember ongoing commitments, pending actions, and bring urgent matters to the Founder’s notice immediately. Highly organized and disciplined in managing multiple priorities. Strong communication skills (English & Hindi) – polite, professional, and respectful tone in all interactions. Tech-savvy (MS Office, Google Workspace; preferred: Canva, basic video/photo editing). Ability to maintain confidentiality and discretion . Problem-solving approach with the ability to work independently. Desired Profile Graduate/Postgraduate in Management / Architecture / Design / Mass Communication / Event Management preferred. 2–5 years of experience as EA/Operations Coordinator/Project Coordinator. Comfort with site work, design environments, and event handling. Interest in interior design, vastu, heritage, NGOs, and education is a plus. Growth Path This role provides exposure to interior design projects, vastu consultancy, education management, heritage conservation, and NGO initiatives. A high-performing EA can grow into Operations Manager, Brand Manager, or Chief of Staff in the Founder’s ecosystem.
