Position Overview:The Manager of Administration and Student Affairs will oversee the day-to-day operations of the administrative and student services functions within GIM. This position plays a pivotal role in creating a supportive and efficient environment for students, faculty, and staff. The Manager will ensure smooth operations in student engagement, student well-being, and other administrative tasks related to academic and co-curricular programsKey Responsibility Areas (KRAs) KRA Key Activities Administration and Operations Management Oversee daily administrative operations, including scheduling, office management, and document processing. Manage student records, academic transcripts, and enrollment databases in compliance with regulations. Ensure students have access to all necessary administrative services (e.G., ID cards, accommodation requests, library access). Coordinate administrative support for faculty, staff, and academic programs. Maintain proper management of student-related data in student management systems. Student Affairs and ServicesAct as a point of contact for students, responding to academic and non-academic inquiries. Provide support and guidance to students on program requirements, academic concerns, and extracurricular activities. Organize and lead new student orientation programs to ensure smooth transitions into the academic environment. Coordinate student engagement initiatives such as clubs, events, and leadership programs. Resolve student grievances and provide solutions to academic or personal concerns. Event and Program Coordination Plan, coordinate, and execute student-focused events, such as career fairs, networking events, and academic workshops. Collaborate with faculty and external partners to organize conferences, lectures, and professional development initiatives. Facilitate workshops, seminars, and social events that enhance the student experience. Communication and Reporting Prepare and distribute internal communications related to student affairs, events, academic deadlines, and policy changes. Track and report on student engagement and satisfaction, providing actionable insights to senior management. Maintain and update student handbooks, newsletters, and other key student resources. Policy Development and Compliance Ensure adherence to institutional policies and legal requirements related to student affairs. Support the development, review, and updating of the student code of conduct, academic policies, and procedural documentation. Ensure compliance with institutional regulations, ensuring data security and confidentiality in all student affairs Qualifications and Competencies Category Details Educational Qualification A Master's degree preferably in in Education Administration, Management, or a related field. Experience 5+ in student affairs, administration, or academic services, with at least 2 years in a leadership or managerial role Skills Strong knowledge of student services, higher education administration, and management systems Excellent interpersonal and communication skills, with the ability to interact effectively with students, faculty, and staff Strong organizational and problem-solving skills, with the ability to handle multiple tasks and meet deadlines. Demonstrated ability to manage confidential and sensitive student information Key Performance Indicators (KPIs) No. KPI Category Indicators Student Satisfaction Rate Achieve a student satisfaction rate of at least 90% in feedback surveys related to services and support.2.Administrative Efficiency Reduce processing time for administrative requests by 10% year-over-year and resolve inquiries within 48 hours.3.Event Participation and Satisfaction Ensure at least 80% student attendance at major events and attain an 85% satisfaction rate in post-event surveys. 4.Compliance and Data Security Maintain 100% compliance with institutional policies and legal requirements, ensuring full adherence to data protection regulation.5.Student Engagement Growth Increase student participation in extracurricular activities by 20% annually.
