Job Title: Executive Business CoordinatorLocation: Bhandarkar Road, PuneSalary: As specified & as per market standardJob Type: Full-time, In officeWork Days: Monday to SaturdayTimings: 10:00 AM to 7:00 PM (must align with Director’s timings & meetings)Job SummaryAshwamedh Spaces is looking for a highly polished, presentable and organized Executive Business Coordinator to support the Director’s Office. This role requires excellent communication skills, strong coordination abilities, and absolute discretion. You will act as the first point of contact for visitors and callers, manage the Director’s calendar, pass instructions to internal teams, and ensure effective coordination across the business.Key ResponsibilitiesCommunication & CoordinationAct as the communication bridge between the Director and internal/external stakeholders.Pass instructions clearly to teams and follow up on status until closure.Draft and respond to emails/messages on behalf of the Director where required.Visitor & Call ManagementHandle & Screen all visitors before allowing access; direct them to appropriate departments.Handle all incoming calls for the Director, record messages, and connect only when approved.Maintain a highly professional and polished front for the Director’s Office.Calendar & Meeting ManagementManage the Director’s calendar completely - meetings, appointments, reviews & general tasks.Prioritize requests and ensure no conflicts.Prepare daily schedules and meeting briefs when needed.Administrative SupportMaintain documents, files, correspondence and sensitive information with confidentiality.Track tasks assigned by the Director and ensure timely follow-up.Support in basic reporting, coordination between departments and documentation.Professional ConductMaintain confidentiality, integrity and discretion at all times.Represent the Director’s Office with professionalism and maturity.Required Qualifications & Experience3 to 5 years of experience in roles such as:Executive CoordinatorAdmin ExecutiveBusiness CoordinatorGuest Relationship ExecutiveExecutive Assistant (junior-to-mid level)Client/Office CoordinatorGraduate degree (any discipline).Strong communication skills in English and Marathi.highly presentable, polished, and confident.Proficient in MS Office (Word, Excel, Outlook).Maintain Confidentiality & Sensitivity in information & data handlingPreferred (Not Mandatory)Experience in real estate, consulting, architecture, construction, corporate offices or customer-facing roles.Someone who understands basic business workflows and has handled senior-level coordination.Why Join UsWork directly with the Director of a real estate development business.Exposure to multiple departments and business operations.Professional, structured environment with growth opportunities.Job Types: Full-time, PermanentWork Location: In person
