Since inception, the organization has worked tirelessly in the fields of education, healthcare, and social development, uplifting underserved communities while embodying the values of love, non-violence, compassion, and dedicated service to humanity.Job Summary:Veerayatan seeks a dynamic and experienced Executive Assistant (EA), who will be responsible for high level administrative, programmatic, and governance-related coordination, and communication support to its Senior Management. The role requires exceptional organizational skills, high professionalism, confidentiality, and the ability to manage multiple priorities in a fast-paced non-profit environment. This position is critical in ensuring the smooth functioning of leadership operations and enabling senior leaders of Veerayatan to focus on strategic initiatives.Key Responsibilities: (a) Executive and Administrative Support: ¨ Manage engagement calendars, schedules, and appointments for Senior Management. ¨ Coordinate internal/external meetings, logistics, agendas, minutes, and follow-ups. ¨ Prepare high level briefing notes, presentations, reports, and correspondence. ¨ Screen and prioritize emails, calls, and requests. ¨ Maintain organized digital and physical filing systems. (b) Communication and Coordination: ¨ Serve as a key point of contact and liaison between Senior Management, internal teams, partners, and stakeholders. ¨ Draft professional emails, letters, and other required official communication. ¨ Ensure timely follow-up on action points from meetings and reviews. ¨ Support coordination across departments and project teams. (c) Travel and Event Management: ¨ Plan and coordinate domestic and international travel for Senior Management, including itineraries, bookings, and documentation. ¨ Provide logistical support for conferences, field visits, donor meetings, and events. ¨ Prepare travel briefs and post-visit reports. (d) Documentation and Information Management: ¨ Prepare and compile reports, presentations, dashboards, and meeting materials. ¨ Maintain confidentiality of sensitive information and organizational documents. ¨ Support record-keeping for governance, compliance, and reporting needs. (e) Strategic and Programme Support: ¨ Assist in tracking key organizational priorities and deadlines. ¨ Support project coordination, research, and data compilation. ¨ Help prepare proposals, donor communications, and impact updates as required. Qualifications and Experience: ¨ Master’s degree in Business Administration, Communications, Management, or a related field. ¨ 5 to 7 years of experience as an Executive Assistant/Administration Manager (preferably in NGO or in the development/social sector). ¨ Excellent written and verbal communication skills in English and Hindi.¨ Strong proficiency in MS Office, Google Workspace, and virtual collaboration tools. ¨ High level of discretion, integrity, and professionalism. ¨ Strong and proactive organizational and time-management skills.¨ Ability to multitask, prioritize, and work under deadlines.
