Role Overview: We are looking for a professional and detail-oriented Receptionist / Travel Desk Executive with at least 3 years of mandatory experience specifically in managing corporate travel desks along with reception duties. You will be responsible for managing all travel-related logistics for employees and guests, alongside maintaining a welcoming and efficient reception area. Key Responsibilities: Travel Desk Management (Mandatory Experience): Independently manage end-to-end travel arrangements including flight bookings, hotel accommodations, local transport, and visa processing for domestic and international travel. Develop and maintain strong partnerships with travel vendors, agencies, airlines, hotels, and transport providers. Negotiate contracts and rates with travel partners to ensure cost-effective and high-quality services. Monitor vendor performance and resolve any service issues promptly. Prepare detailed travel itineraries and manage travel documentation and reimbursements. Handle travel-related emergencies, rescheduling, and last-minute changes promptly and efficiently. Maintain records of travel expenses, vendor contacts, and travel history. Ensure compliance with company travel policies and budget guidelines. Reception & Front Desk Duties: Welcome visitors, clients, and vendors with professionalism and warmth. Manage incoming calls, emails, and queries; direct them appropriately. Maintain reception area organization and ensure it reflects Palmonas’ brand. Handle courier and mail services efficiently. Maintain visitor logs and security protocols. Requirements: Minimum 3 years of experience with mandatory focus on Travel Desk management. Experience in managing travel vendor partnerships and contract negotiations. Excellent communication and interpersonal skills. Strong proficiency with travel booking systems and MS Office applications. Ability to multitask, prioritize, and work under pressure. Professional appearance and demeanor.
