About the Role: We are seeking a dedicated and detail-oriented Visa Customer Executive / Visa Application Coordinator / Visa Processing Advisor to join our team. In this client-facing role, you will act as a trusted advisor, guiding clients through the complex visa application process. Your expertise will ensure accurate documentation, compliance with embassy and government requirements, and successful visa approvals. If you thrive in a fast-paced environment, have a passion for customer service, and possess knowledge of international visa protocols, we want to hear from you.Key Responsibilities: Consult with clients to understand their visa needs, including tourist, work, study, or immigration visas for various countries. Research and explain embassy/government-specific documentation requirements, timelines, and eligibility criteria. Perform thorough diligence and evaluation of client-provided documents to identify gaps, inconsistencies, or additional needs. Assist clients in preparing, organizing, and formatting visa applications, including forms, supporting letters, financial proofs, and other required materials. Guide clients on proper submission procedures, whether online, via mail, or in-person at embassies/consulates. Liaise directly with embassies, consulates, and government agencies to track application status, resolve queries, and advocate for approvals on behalf of clients. Maintain accurate records of client interactions, application progress, and outcomes using our internal systems. Provide post-submission support, including handling appeals, reapplications, or additional documentation requests. Stay updated on changes in visa policies, immigration laws, and global travel regulations to offer proactive advice. Collaborate with internal teams (e.g., legal advisors, operations) to ensure seamless service delivery.Requirements and Qualifications: Bachelor's degree in Business Administration, International Relations, Law, or a related field (preferred). 2+ years of experience in visa processing, immigration consulting, customer service, or a similar role in the travel/immigration industry. Strong knowledge of visa application processes for major destinations (e.g., USA, Schengen countries, UK, Canada, Australia, South America, Middle East etc). Excellent attention to detail and organizational skills to handle complex documentation. Proven ability to communicate effectively with clients, embassies, and government officials via phone, email, and in-person. Proficiency in Microsoft Office Suite (Word, Excel, PDF tools) and familiarity with visa application portals/software. Fluency in Hindi / English; additional languages (e.g., Spanish, French, Mandarin) are a plus for handling diverse clients. Ability to work under pressure, meet deadlines, and manage multiple client cases simultaneously. High ethical standards, with a commitment to confidentiality and compliance with data protection.Willingness to travel occasionally for embassy visits or training.Preferred Skills: Certification in immigration consulting or related fields (e.g., from ICCRC or similar bodies). Experience with CRM tools like Salesforce or specialized visa management software. Strong problem-solving skills to navigate bureaucratic challenges.
