Job Title: Head – Crew LogisticsLocation: GurugramReporting To: VP – GRC HeadSpan of Control: Travel Desk Team, Transport & HOTAC Management, Contracts & ComplianceRole PurposeTo lead the Crew Logistics function, ensuring safe, compliant, cost-efficient, and crew-centric delivery of accommodation, transport, ticketing, and support services across the network. The role focuses on operational excellence, digital enablement, automation, and strong vendor governance, with readiness to take on broader administration responsibilities as the organization scales.Key ResponsibilitiesCrew Logistics OperationsOwn end-to-end crew logistics including HOTAC, transport, deadheading, allowances, crew tracking, and support services.Ensure seamless crew support during normal operations, disruptions, and IRROPs.Prevent operational delays and avoidable costs through proactive planning and execution.Policies, SOPs & GovernanceImplement, maintain, and continuously improve policies, SOPs, manuals, and contingency procedures.Drive standardization across bases to ensure consistent crew experience and compliance.Ensure adherence to internal policies, DGCA requirements, and governance standards.Digital Enablement & Process ImprovementDrive adoption of existing digital tools and lead automation initiatives.Identify manual, non-scalable processes and convert them into system-driven solutions.Partner with IT, Digital, and Operations teams to enhance crew logistics platforms.Audit, Compliance & Risk ManagementConduct internal audits, quality checks, and compliance reviews.Identify operational, financial, and safety risks; implement corrective actions.Track audit findings and embed learnings into SOPs and training programs.Cost Control & Vendor ManagementDrive cost optimization across hotels, transport, meals, and deadheading.Manage vendor onboarding, SLA adherence, performance reviews, and dispute resolution.Ensure billing accuracy and contractual compliance.Team LeadershipLead managers, executives, and shift teams in a 24x7 operational environment.Conduct performance reviews, training needs assessments, and refresher programs.Foster a culture of accountability and continuous improvement.Stakeholder ManagementAct as the primary interface with OCC, Flight Operations, Inflight Services, HR, Finance, IT, and vendors.Provide timely updates, MIS, and data-driven insights to senior leadership.Extended Administration ResponsibilitiesDemonstrate capability to take on broader administration roles, including vendor administration, facilities coordination, contract support, and ad-hoc operational admin responsibilities as required.Key Performance Indicators (KPIs)Crew logistics cost efficiencyAudit scores and compliance levelsCrew satisfaction and grievance TATVendor SLA adherence and billing accuracyOperational resilience during disruptionsSkills & CompetenciesStrong operational leadership and execution skillsHigh process, audit, and compliance orientationCost optimization and vendor management expertiseAbility to perform in a high-pressure, 24x7 aviation environmentClear communication and sound decision-makingExperience & Qualifications10–15 years of experience in airline operations / crew logistics / crew servicesHands-on exposure to HOTAC, crew transport, accommodation, and IRROPsExperience with digital tools and automation initiatives preferredBachelor’s degree required; Hotel Management / Operations background preferredIdeal Candidate ProfileA hands-on aviation professional with deep crew logistics expertise, strong people leadership, and the flexibility to evolve into broader administration leadership roles as the organization scales.
