Job Description: Assistant To CEO Company:ElectriVa Location:Delhi, India Work Mode:Full-time Job Summary ElectriVa seeking a highly motivated, exceptionally organized, and proactiveAssistant to the CEOto provide comprehensive administrative, strategic, and operational support to our Chief Executive Officer (CEO). This pivotal role requires an individual who is resourceful, dedicated to maintaining absolute confidentiality, and possesses outstanding communication and problem-solving skills. The ideal candidate will be a forward-thinker capable of anticipating needs and managing a diverse range of responsibilities with professionalism and discretion.Key Responsibilities Executive & Administrative Support Calendar Management:Expertly manage and optimize the CEO's complex calendar, including scheduling meetings, conferences, and travel while proactively resolving scheduling conflicts. Correspondence:Draft, proofread, and manage internal and external communications on behalf of the CEO, including emails, memos, and presentations. Travel Coordination:Arrange and manage all aspects of domestic and international travel logistics, including flights, accommodations, ground transportation, and preparing detailed itineraries. Expense Management:Process and reconcile the CEO's expense reports in a timely and accurate manner. Meeting Preparation:Prepare agendas, gather necessary materials, take comprehensive meeting minutes, and ensure timely follow-up on action items. Office Management:Maintain an organized and efficient executive office environment, handling filing, supply orders, and general administrative duties.Strategic & Operational Support Information Flow:Act as a critical liaison and gatekeeper, fielding and prioritizing requests, phone calls, and information flow to and from the CEO. Project Coordination:Assist in the planning, coordination, and execution of company-wide projects and initiatives, tracking progress and reporting updates to the CEO. Board/Investor Relations:Coordinate logistics for Board meetings, investor presentations, and key executive gatherings, including preparing confidential materials. Research & Analysis:Conduct research, compile data, and prepare summaries or reports on various business topics as requested by the CEO.Qualifications Experience:Minimum of5+ yearsof progressive experience supporting a C-level executive, preferably within a fast-paced or global organization. Education:Bachelor's degree preferred, or equivalent experience. Technical Proficiency:Advanced proficiency in the Microsoft Office Suite (Word, Excel, PowerPoint). Confidentiality:Proven ability to handle sensitive and confidential information with the utmost discretion and integrity is non-negotiable.Required Skills & Attributes Exceptional Organizational Skills:Superior ability to manage multiple priorities, meet deadlines, and maintain meticulous attention to detail. Communication Mastery:Excellent written and verbal communication skills; ability to interact confidently and professionally with all levels of the organization and external stakeholders. Proactivity & Initiative:A self-starter who anticipates needs, solves problems before they arise, and takes ownership of tasks. Professional Demeanor:Poised, articulate, and able to remain calm and effective under pressure.
