The company also collaborates with esteemed research organizations such as the Defence Research & Development Organization (DRDO) and has global accreditations, including approval from Health Canada.Position SummaryAIMIL Pharmaceuticals is looking for a dynamic and detail-oriented Sales Administration Manager to oversee state-level sales coordination, ensure smooth communication between HO and field teams, streamline sales operations, monitor targets, and support the sales leadership. The role requires strong organizational, analytical, and communication skills, along with deep understanding of pharma sales processes.Key Responsibilities1. State Sales CoordinationAct as the central communication link between Head Office (HO) and state sales teams / TSIs / ASMs / RMs.Coordinate daily activities, route planning, field coverage, and reporting.Ensure timely circulation of HO instructions, product updates, inputs dispatch schedules, schemes, and incentives.Maintain an updated database of state-wise sales teams, stockists, distributors, and doctors’ coverage.2. Sales Administration & ReportingTrack monthly, quarterly, and annual sales performance for assigned states.Prepare MIS reports, productivity dashboards, and performance trackers for management review.Monitor doctor coverage, call averages, order booking, outstanding recovery, and sales vs. target analysis.Ensure on-time submission of DCRs, tour programs, expense statements, and sales forecasting data.3. Distribution & Stockist CoordinationAssist states in stockist appointments, renewals, documentation, compliance, and onboarding.Coordinate with supply chain for stock availability, dispatches, billing, and order execution.Handle queries related to shortages, breakages, delayed supply, and pricing.4. Scheme, Incentive & Input ManagementCirculate and implement monthly schemes, promotional campaigns, and incentive structures.Ensure timely distribution of gifts, samples, visual aids, and promotional material to state teams.Track utilization and maintain a state-wise log of inputs.5. Compliance & DocumentationMaintain proper filing of agreements, stockist documents, KYC, GST certificates, and HO approvals.Ensure field teams follow company SOPs, code of conduct, and reporting formats.Assist in audit-related documentation whenever required.6. Training & SupportSupport induction and training of new state sales staff on company products, reporting systems, and processes.Provide HO-level administrative support during conferences, review meetings, product launches, and CME activities.Required Skills & CompetenciesStrong coordination and administration capability.Excellent communication (English & Hindi) and interpersonal skills.Proficiency in MS Excel, Google Sheets, PowerPoint, and CRM tools.Strong analytical mindset and ability to handle data.Problem-solving attitude and ability to multitask.Knowledge of pharma industry operations is preferred.Educational Qualification & ExperienceGraduate / Post-graduate in Management, Commerce, or Life Sciences.3–7 years of experience in pharmaceutical sales coordination / sales administration.Experience handling multi-state coordination will be an added advantage.LocationHead Office – Delhi (with coordination responsibility for multiple states
