Job Description:
Position OverviewProvide operational supports to the dedicated vessels in the fleet cell with regards to computerized Planned Maintenance System and statutory requirements. Provides secretarial and administrative support to Fleet Managers and Superintendents to ensure the smooth and efficient operation of the technical service projects under management and the administrative duties of the departments are accomplishedKey Responsibilities & AccountabilitiesAssist and provide support to the Superintendents in organizing, coordinating, monitoring and following-up on fleet`s class records and various outstanding items, defect reports, repairs and in organizing attendances for on-board services, surveys, inspections (external providers, service stations etc.) in consultation with technical superintendentsAssist the Technical Team in organizing new projects and dry dockings under the guidance of the Superintendents. Compiles technical reports according to prescribe formats and ship’s owners requirements. Ensures that PMS is constantly updated and/or revised, as required by reviewing and monitoring work orders and maintenance history dataMonitor and review the vessel consumptions & reporting (lubricants, bunkers, paints, FW etc.) and various analysis reports, as received and distributes respective files accordinglyRecord and monitor the vessels’ Technical Superintendents attendance intervals, the produced reports and the identified deficiencies and ensures proper filing and record keepingMonitor the status of all certificates, records and reports of vessels and coordinates their renewals. Ensures the certificates’ due dates monitoring system is always kept up-to-date and communicates with the vessel’s class society and schedules, organizes and coordinates class attendancesMonitor the status of LSA and FFA equipment & arranging service in consultation with Superintendents. Maintaining electronic or hard-copy vessel drawingsProvide technical support and any additional technical documentation and assistance to shipboard personnel for the proper operation and maintenance of the vessels’ machinery and equipment. Ensures proper record keeping practices are followed-up on board, all vessel’s reports, forms, records etc. are received on time, reviewed as required and filed accordingly.Ensure company’s policies and procedures are followed within the department. Prepares various reports, collects vessel performance data as required for the technical department’s reporting of KPIs.Provide guidance on technical issues and company’s quality system and reviews the on-board technical documentation and records.Input various technical information, service reports in the company’s system as well as information related to purchasing, invoicing, certificates and various technical matters ensuring proper record keeping.Assist Superintendents with preparation of monthly and quarterly reports and distributes same to owners.Monitor and update Rules, Regulations, Technical Bulletins, etcAssist with budgets, invoices, contracts (clients, consultant and contractor), cost control and tracking billing process with accountingPrepare the back-up list of Superintendents and update of TD organization chartResponsible for the general correspondence to vessels. Incoming mail / distribution/ dispatchAny other duties assigned.QualificationsTechnical background preferredBachelor’s Degree in Maritime or related disciplineExperienceAt least 2 years´ experience in the maritime industry preferredPreferably with administrative or clerical experience gained from Marine/ shipping industry
