Job Title: Manager – AgencyLocation: Andheri East, MumbaiDepartment: Operations / MarineReports To: Manager OperationsRole OverviewThe Manager – Agency will be responsible for independently managing all port agency-related activities across the company’s fleet. The role involves strategic planning, negotiation, appointment, and performance monitoring of port agents to ensure seamless vessel turnaround and optimized costs. The incumbent will coordinate with multiple departments including Crewing, Technical, and Commercial to ensure all operational requirements are met efficiently.Key Responsibilities· Agency Appointment & Managemento Independently identify, evaluate, and appoint port agents and service providers for all vessel calls worldwide.o Maintain and update an approved list of agents, ensuring compliance with company standards and vetting processes.o Negotiate competitive terms with agents after understanding detailed requirements from Crewing, Technical, and Operations departments.· Port Call Planning & Cost Optimizationo Collaborate with vessel operations, commercial, and technical teams during port planning to minimize delays and costs.o Review proforma and final Disbursement Accounts (DAs) for accuracy and efficiency.o Analyze cost trends across ports and suggest cost-saving opportunities and preferred ports/agents.· Documentation & Complianceo Ensure all agent appointments, service agreements, and DAs comply with company SOPs and contractual terms.o Maintain comprehensive records of all agency appointments, communications, and performance evaluations.o Ensure adherence to international shipping regulations, local port requirements, and company compliance policies.· Liaison & Coordinationo Act as the central point of contact for all agency-related matters between ships, agents, and internal teams.o Coordinate with the Crewing team for crew changes, visa formalities, and logistics through appointed agents.o Support Technical and Procurement teams for spares delivery coordination, drydock logistics, and vendor interface at ports.2 / 2· Performance & Reportingo Evaluate agent performance regularly and provide feedback or corrective action plans where necessary.o Prepare monthly summaries and variance reports for management, including cost analysis and savings achieved.Qualifications & Experience· Graduate in Marine, Nautical Science, or Commerce (preferred).· Minimum 10 years of relevant experience in a ship management or ship owning company, handling agency coordination and port operations.· At least 2 years of independent responsibility for global agency management and DA control.· Strong knowledge of port operations, vessel documentation, and shipping regulations.· Excellent negotiation, communication, and analytical skills.· Proficient in MS Office, ERP systems, and DA management tools (experience with Mariapps or similar platforms preferred).Key Attributes· Strong commercial acumen with attention to detail.· Ability to work independently under pressure and handle multiple vessel operations simultaneously.· Collaborative mindset with cross-functional communication skills.· Ethical, disciplined, and result-oriented with a focus on operational excellence and cost efficiency.
