Role PurposeThe Global HR Operations Specialist provides comprehensive HR operational and advisory support across Smartstream's global locations. This role is responsible for the accurate and timely delivery of HR processes spanning the full employee lifecycle, compliance reporting, HR systems administration, and employee relations — supporting managers, employees, and the wider HR team globally.Key ResponsibilitiesEmployee Lifecycle ManagementManage end-to-end onboarding for new starters, including contract generation, system setup, and new starter survey distributionProcess leavers including system updates, exit survey distribution, and leaver administrationAdminister contract variations, flexible working requests, and probation reviewsSupport redundancy processes, disciplinaries, and grievance procedures in line with local employment lawManage employment verification requests, study support letters, and immigration travel administrationCoordinate visa and vetting processes as requiredHR Reporting & DataProduce monthly headcount reports including dedicated reports for regional stakeholdersCompile and distribute monthly attrition reports with narrative commentaryPrepare compliance reports as requireBenefit administration as requiredAdminister monthly eNPS survey distribution, participation tracking, and results communicationHR Systems AdministrationMaintain HRIS accuracy including manager changes, TOIL entries, new holiday types, public holidays, compensation and visa typesUpdate and maintain Udemy Business (or equivalent L&D platform) by adding new hires and removing leavers monthly as requiredSupport ongoing HR system improvements and configuration changesHR Operations & ComplianceMonitor and manage the HR inbox daily, triaging and resolving queries in a timely manner as the sole ownerConduct monthly contract reviews to ensure accuracy and complianceSupport monthly policy reviews and maintain the Manager Hub on a regular cycleAdminister and support benefits monthly and renewals as requiresResponsible for parental leave with the HRIS systems and with the Ees/ManagerMaintain accurate HR documentation and filingEmployee Relations & AdvisoryProvide first-line HR advisory support to managers and employees on HR policies and processesSupport ER cases including disciplinaries, grievances, flexible working, and redundancy, escalating where appropriateAssist with annual performance review and salary review cyclesSupport bonus plan and bonus payment communicationsPerson SpecificationEssentialProven experience in a generalist HR role, ideally within a global or multi-country organisationStrong working knowledge of HR processes across the employee lifecycleExperience of HR systems administration e.g. WorkableHigh attention to detail and accuracy in data and reportingAbility to manage a varied workload with competing priorities and deadlinesStrong written and verbal communication skillsProficiency in Microsoft Office, particularly ExcelDiscrete and professional in handling sensitive and confidential informationDesirableExperience supporting HR operations across multiple jurisdictions including India, UK, Europe, APAC, Americas, or the Middle EastFamiliarity with employment law and compliance requirements in more than one countryCIPD qualified or working towards qualificationExperience with eNPS or employee engagement survey toolsThis job description is intended as a guide to the main responsibilities of the role and is not exhaustive.
