Job Title : Assistant Manager –Administration and ProcurementReporting To : Manager – Finance Location : MumbaiCTC : Upto 8 - 11 LPAKey responsibilitiesProcurement· Understanding the business requirements of IT, NON-IT Assets, Real Estate and other Administrative Services and identifying and contacting suppliers/vendors proactively through mails for quotations as per requirements· Compiling and collating all quotations after comparison of rates, service levels, strength, weaknesses, terms & conditions along with MOM for functional head / HOD’s and Committee evaluation of vendor(s).· All Admin contracted to be entered as per the company process with Committee & Management approval proper PR & PO in place.· Timely Services & Delivery of Material at Site is as per TAT.· Monitor business trends and product availability to pay the best price for company goods and services without sacrificing quality or delivery times.· To assist functional head finance on the annual budget.· Organizing venues for annual budget meeting and other events like trade parties, staff parties, conferences, external training, etc.· Assisting Travel Team in organizing & arranging the hotel stay of Guests from HO, Seminars & Training Program for their travel requirement(s)· Preparing MIS, Cost benefit analysis, repots for submission to management. Vendor management• Vendor management and vendor Assessment Pan India• Timely reviewing the records of all the AMC & Rate Contracts for all locations• Contract management i.e., Preparing documents to put tenders for contractorsCoordination with Legal, Compliance Team and Consultant • Liaising with government authorities, licenses department, Consultant & Authorities, etc. For smooth and seamless compliance with required statutory and legal requirement across all locations• Possess knowledge of legal and contract documentation, drafting & vetting compliance, and diligence issues.• Ensure all service contract, IT & NON-IT ASSESTS procurement have all compliance in place.Key performance standardsProcurement, Real Estate, Asset Management, Vendor Management &Financial ManagementRequirements and specific skillsCandidates with B. Com degree, work experience of 5+ years working with shipping, MNC, Corporate Offices managing procurement of IT & Non IT Asset and facility management.Excellent communications skills, verbal & written.Excellent command over MS office.Candidate with certification in administration & facility management, EHS, First Aider and fire safety will be preferred.
