ROLE / POSITION INFORMATIONPosition -Senior ExecutiveJob Grade - Level4 ADepartment -QHSEJob Location - Andheri Mumbai .Joining availability - ImmediateJob PurposeProvide an administrative support role to QHSE Head , execute audit functions, planning and coordinating with RO and vessel until completion. Document control of Manuals. Ensure effective production and archive management of QHSE records. Maintain quality, health, safety, and environmental policies and company procedures to ensure compliance with relevant standards & regulations.Roles & ResponsibilitiesEach job description assumes that key duties, accountabilities and performances follow EMARAT maritime strategies, operational priorities, and policies. It is also assumed that each job holder is expected to perform other job-related duties as assigned by the direct or indirect managers.Individuals can add key performance areas as applicable to their role.QHSE Administration:•Assist the QHSE Manager and provide an administrative support role through the coordination of administrative processes, audit functions and document control to ensure effective production and archive management of QHSE records.•Create PO orders for all services covered within the department functions and follow up for payment with accounts team and if required with vendors.Audit Management:•Responsible to the QHSE Manager in planning and scheduling audits for maintenance of company certifications both for ISM and relevant ISO standards.•Plan and initiate Management office and ships’ internal and external audit processes to ensure scheduling, initiation, and actual audit leading right up to close-out of audit findings which is to be implemented timely.•Maintain records and database for all internal and external Management Office and ship audits.•Liaising with Technical and operations Department to Plan shipboard internal audits / Inspections onboard conducted biannually as per company policy.Operations Compliance:•Collate KPI results.•Collate and present statistical data required for MRM.•Monitor and follow-up with vessels for various shipboard reports (SMS review, SCM, Masters Review)•Maintain record of company stationary (Logbooks) and follow-up with vessels for sufficient onboard stock.•Dispatch Chart world updates / Marine publications received to all fleet vessels and keeping vessels up to date.Safety Management System (SMS):•Support the Head of QSHE in effectively implementing, maintaining, and continuously improving the company’s SMS.•Ensure compliance with recognized authorities’ standards and certification requirements.•Record QSHE key performance indicators on a monthly basis and Generate reports as needed.Health and Safety:•Assist in Health and Safety campaigns, collection of submissions and analysis as advised by by QHSE Manager.•Make health and Safety posters as applicable from time to time and circulate all EML fleet vessels.•Collate various NM, Accident, Incident data for QSHE reports and analysisEnvironmental sustainability:•Assist the QSHE Head to collate documentations for environmental reporting of IMODCS, EUMRV and UKMRV regimes.•Collate annual VGP reports for vessels calling US watersAssist in review of environmental incidents to verify its effect on company’s operations against their Aspects and Impacts.•Assist in review of SEEMP analysis on annual basis, make new SEEMP Plans for all new build vessels and keep track of approved plans and certificationsIncident Management and Documentation:•Assist with incident investigations, non-conformity close-outs, and other audit findings.•Develop and draft new QSHE procedures and documentation as required.•Maintain health, safety, security, environmental statistics, and Key Performance Indicators (KPIs) of all departments and vessels.•Collate statistical data required for MRM.Continuous Improvement:•Optimize the company’s Safety Management System according to the ISM Code and maintain all SMS Procedure in Document Cloud explorer and to optimize usage of new cloud-based system for review of manuals and forms.•Release new company policies of various departments after DCR approval from management and circulate to vessels and officeQualifications & ExperienceEducation - Any Graduate Fresher with Science background) or Deck Officer or Engineer with certificate of competency and sailing experience for at least 1 year in Junior rank .
