Function Finance, Admin & Association Secretary Position Report to Director General, OPPI Job Description: Head the Finance, Administration and Secretarial function at OPPI Key Deliverables 1. Accounting & Audit § Ensure good audit rating for Statutory Audit without any qualification or adverse remark § Manage all audits § Ensure accuracy of accounting as per standard guidelines § Ensure GST compliances. § Ensure all the taxes / statutory dues are paid to the concerned authorities on time § Coordinate with the Auditors for all the audit requirements § Ensure audit Is completed on time and financials are signed within the time limit. § Ensure filing of Tax audit report – Form 10B and form 10. Ensure the surplus amount is invested as required by the law § Provide data for income tax filing and ensure the same is filed within the time limit and in the prescribed format § Follow up on all the pending tax assessments and support its closure. 2. Ensure Smooth functioning of OPPI activities § Safeguarding all the assets of OPPI § Monthly salary processing, accurate calculation of employee tax liability § Obtain LDC from Income tax § Ensure smooth running of Mumbai & Delhi office § Invoicing for membership fees / other event invoicing and collections § Prepare cash flows and invest surplus in FD’s § Manage HR function relating to recruitments, settlements, increments, leave management etc. § Manage IT function § Ensure all the polices are in place and properly followed § Ensure all the agreements are in place and renewed from time to time § Ensure all the financial transactions are done as per the policy and in the best interest of OPPI. § Ensure all the insurance policies are renewed timely. Office as well as employees § Provide support for all the OPPI events – Venue selection & finalization, negotiating the rates and signing of the agreement, collection of delegate fees, negotiate with event management team and sign contract, manage the hotel and travel bookings for everyone. 3. Ensure Compliance and Governance § Ensure proper conduct of Executive Committee meetings as per the Articles of Association. Agenda & Minutes are prepared and circulated. § Ensure compliance of the OPPI Board § Conduct Statutory AGM as per the Companies Act § Ensure MOA and AOA are strictly followed § MCA (RoC), Filing of Statutory Returns as per the law § Making appropriate changes to the AOA as and when required § Statutory Audit of accounts and Income tax filing 4 Budgeting and Strict Control on financial activities § Preparation and analysis of Budget & Estimate and presentation to the Executive Committee § Provide alternative plans for generating higher profits § Ensure 100% collection of all the membership and delegate fees § Monitoring Receivables and Payables § Optimizing costs § Prepare a separate P&L for all the events – Estimated and actual § Suggest alternatives for reducing costs and continency plans 5 Workgroups § Lead the Finance & Taxation Workgroup § Conduct of Finance & Taxation WG meetings § Support and guidance to member companies on IPDMS implementation and issues § NPPA updates § Recommendations and suggestions for the pricing policy § Support on queries relating to price calculations and over charging issues § Provide recommendations for Union Budget § Updates on any new regulation relating to tax and accounting § Lead the Human Resources Workgroup § Support members of HR related issues § Update on various HR laws Education, Qualifications, Skills and Experience · Finance qualification with 25 years of industry experience · Demonstrated ability to articulate a vision and mobilize diverse stakeholders. Execute complex assignments and deliver meaningful interventions.
