Talent500 is hiring for one of its clients.Manager, Administrative Operations – Global Delivery (India)Overview:This role provides high-quality administrative and operational support while also leading processes, mentoring team members, and driving consistency, efficiency, and scalability across the firm.The ideal candidate is a proactive leader who thrives in a fast-paced, deadline-driven environment and demonstrates strong organizational skills, attention to detail, and the ability to manage competing priorities across time zones. This individual will serve as a key partner to stakeholders globally and help enhance the effectiveness of the Global Delivery model.Key Responsibilities:Administrative & Operational Leadership:Provide advanced administrative support to senior professionals and engagement teams across regions.Oversee and optimize complex calendaring, scheduling, and coordination across time zones.Lead prioritization of competing requests across stakeholders while ensuring accuracy and timeliness.Identify, implement, and monitor process improvements to enhance efficiency and scalability.Serve as a point of escalation for complex administrative or operational issues.Team Leadership & Development:Mentor and support junior administrative team members within the Global Delivery team.Provide guidance on best practices, workflows, and quality standards.Assist in onboarding and training new team members.Foster a collaborative, high-performance team environment.Engagement & Project Oversight:Oversee work intake processes and coordinate conflict checks.Ensure accuracy and consistency of job and engagement records.Review time entry, expense reporting, and billing support for completeness and accuracy.Monitor billing summaries, invoicing, collections, and project closeout processes.Partner with engagement teams to improve project tracking and execution.Client & Deliverable Management:Review and finalize engagement letters, proposals, and client deliverables.Ensure high-quality formatting, consistency, and adherence to firm branding standards.Develop and oversee internal materials (e.g., team updates, presentations, reporting).Support senior stakeholders in preparing client-facing communications.Meeting & Travel Coordination:Oversee coordination of complex internal and external meetings across global teams.Ensure seamless execution of logistics, materials, and communications.Manage travel planning and logistics, including oversight of itineraries and changes.Business Development & CRM Oversight:Support preparation and review of client-facing materials (qualifications, references, proposals).Oversee CRM data quality (e.g., HubSpot), ensuring accuracy and consistency.Partner with business development and marketing teams on process improvements.Operational Excellence & Continuous Improvement:Lead initiatives to improve administrative processes within the Global Delivery model.Establish and document standard operating procedures and best practices.Track performance metrics and identify opportunities for improvement.Support cross-functional initiatives and strategic projects.Qualifications Required:5–10 years of administrative, operations, or project support experience, preferably in a professional services environment.Demonstrated experience supporting senior stakeholders and managing complex workflows.Strong organizational and prioritization skills with the ability to manage multiple priorities.Excellent written and verbal communication skills.High attention to detail and commitment to quality.Advanced proficiency in Microsoft Office (Excel, PowerPoint, Word, Outlook).Proven ability to handle confidential information with professionalism.Preferred:Prior experience in a global delivery or shared services environment.Experience mentoring or leading junior team members.Familiarity with CRM systems such as HubSpot.Bachelor’s degree.About the Team:You will work closely with professionals across the firm, supporting teams based in the United States and other global regions.
