Position: Travel & Administration Executive Company: Sea6 Energy Private Limited Location: Bangalore Job Summary: We are looking for a candidate with 5-6 years of experience in travel desk management and administration. The ideal candidate should be capable of handling domestic reservations, coordinating travel and cab arrangements, guest handling, and performing travel desk- related support activities. The role also includes providing administrative support for office operations, such as handling calls, managing facilities, procuring office-related items, and assisting with events and meetings. Responsibilities: Travel Desk: Travel arrangements: Support the Travel Manager with flight bookings, domestic travel (train/bus), hotel reservations, transportation, visa processes, and overall travel coordination. Coordination: Liaise with airlines, hotels, and other service providers to ensure efficient and employee-friendly travel arrangements. Customer service: Address travel-related queries and provide excellent service to employees. Record keeping: Maintain accurate records of travel transactions, vendor bills, and correspondence. Timely support: Provide timely updates on flight schedules, cancellations, or changes. Negotiation: Negotiate with vendors to secure the best rates. Emergency changes: Manage emergency changes or cancellations and communicate updates to traveling employees. Visa applications: Assist with visa applications, documentation, and processing in coordination with vendors. Travel reports/MIS: Prepare and submit detailed travel reports and MIS. Follow up on billing and payments. Administration: Office management: Handle general office tasks, including stock-keeping, issuing, and controlling stationery/office supplies as per employee needs. Front desk support: Answer phone calls, communicate with stakeholders, and convey important messages. HR support: Assist new recruits with facilities and necessary assets, and support the HR team in organizing events and meetings. Facilities management: Ensure office facilities and guesthouses are well- maintained and address any concerns raised by employees. Expense management: Manage petty cash, document expenditures, file monthly expense statements, and ensure timely payments. ID cards: Manage the issuance and control of ID cards in coordination with HR. Coordinate with offices/factories for visitor/guest management and gate passes. Material inward/outward: Coordinate inward/outward couriers and material dispatches for domestic and international shipments. Desired Skills: Strong written and verbal communication skills. Proficiency in MS Office tools (Excel, Word, PowerPoint). Excellent time management. Strong organizational and multitasking abilities. Problem-solving attitude. Attention to detail.
