Job Description

Responsibilities: - Oversee daily office operations to ensure a safe, clean, and efficient work environment - Manage office infrastructure, repairs, maintenance, space planning, housekeeping, pantry, utilities, and assets - Handle office seating, access control, attendance systems, parking, and workplace logistics - Manage vendor relationships (security, housekeeping, IT support, facility maintenance, stationery, cafeteria, etc.) - Negotiate contracts, maintain service quality, and ensure cost-efficiency - Procure office supplies, hardware, and inventory with budget adherence - Maintain statutory compliance related to workplace admin (fire safety, insurance, office licenses, AMC contracts, etc.) - Maintain accurate records, agreements, invoices, audits, and official documentation - Prepare and oversee administration budgets, cost analysis, and expense tracking - Approve and process vendor invoices, payments, and reconciliation - Support onboarding/offboarding logistics including workstations, access, assets, and welcome kits - Coordinate employee engagement, workplace initiatives, and office event logistics - Work closely with HR, IT, and Finance for operational alignment - Implement workplace safety policies and emergency response system - Ensure adherence to safety protocols, fire drills, medical assistance, and risk mitigation - Manage and mentor the admin team to ensure high performance and accountability - Establish SOPs and best practices to streamline administrative operations Qualification & Experience: - Bachelor’s Degree in Business Administration, Management or related field - 5+ years of experience in Administration/Facility Management, preferably in a corporate environment - Experience managing vendors, budgets, compliance, and workplace operations
