Job Description

We are looking for a Legal Project Coordinator to support the Legal team in coordinating the collection, organization and tracking of corporate and legal documentation across approximately multiple entities worldwide. This is a contractual position for 6-month duration.This role is ideal for a structured and proactive professional who enjoys organizing complex information, interacting with international stakeholders and contributing to a fast-paced strategic project.Key Responsibilities:Documentation Coordination- Coordinate the collection of legal and corporate documentation across multiple international entities. - Identify and liaise with local contacts within legal, tax, finance, HR and operational teams - Proactively follow up with stakeholders to obtain requested documentation - Ensure documentation is collected within agreed timelinesDocumentation Management- Organize and structure documentation within the internal document management system - Ensure documents are properly categorized, named and version-controlled - Maintain the overall quality and consistency of collected documentationProject Tracking and Reporting- Maintain a centralized documentation tracker - Monitor the progress of document collection across entities - Provide regular status updates to the Head of Legal M&A - Escalate delays or missing documentation when necessaryCoordination with External Advisors- Support coordination with external legal advisors involved in the project - Assist in managing documentation requests and information flowsProfile- 2–3 years of professional experience - Experience in a law firm, consulting firm, legal department or project coordination role - Strong organizational and project coordination skills - Comfortable managing large volumes of documentation - Ability to work with international stakeholdersLanguages:- English: Fluent - French language knowledge would be advantageous.Tools:- Strong command of Excel and PowerPoint - Experience with document management systems or structured documentation processes is a must.Personal Skills- Highly organized and detail-oriented - Proactive and persistent in follow-ups - Strong communication and coordination skills - Comfortable working in a fast-paced environment
