Our operations include sourcing from domestic suppliers, managing export documentation, coordinating with freight forwarders, and ensuring smooth international order fulfillment.Job SummaryThe Office Administration & Back Office Executive will be responsible for managing office administration, backend Amazon operations, coordination with product suppliers, and shipping/logistics partners to ensure smooth export order processing.Key Responsibilities1️⃣ Office Administration- Oversee daily office administrative functions - Maintain records, files, and documentation (physical & digital) - Handle office expenses, vendor bills, and payment follow-ups - Coordinate internal communication and scheduling - Ensure smooth office workflow and compliance documentation2️⃣ Amazon Back Office Operations- Create and manage shipment plans - Monitor order status, returns, and reimbursements - Maintain sales and inventory reports - Coordinate FBA warehouse shipments3️⃣ Supplier Coordination- Communicate with product suppliers for order placement and follow-ups - Negotiate timelines and ensure on-time production - Verify product specifications, packaging, and labeling requirements - Coordinate quality checks before dispatch - Maintain supplier database and purchase records4️⃣ Shipping & Logistics Coordination- Coordinate with freight forwarders and courier partners - Prepare export documentation (Invoice, Packing List, Shipping Bill, IEC, etc.) - Ensure correct labeling as per Amazon FBA requirements - Track shipments and provide updates - Resolve customs or shipping-related issues - Maintain freight cost records5️⃣ Documentation & Compliance- Maintain export compliance records - Ensure proper documentation for audits - Assist with GST/export paperwork - Ensure adherence to Amazon export policies6️⃣ Reporting & Data Management- Prepare MIS reports (sales, stock, dispatch, pending orders) - Maintain Excel sheets and ERP entries - Generate monthly performance reports - Monitor stock levels and coordinate replenishmentQualificationsEducation- Bachelor’s degree in Commerce, Business Administration, or related fieldExperience- 1–3 years in office administration, export, or eCommerce back office - Experience with Amazon Seller Central preferredRequired Skills- Strong MS Excel knowledge (VLOOKUP, Pivot Tables, formulas) - Knowledge of export documentation procedures - Basic accounting & invoice handling - Good communication & vendor management skills - Strong organizational and multitasking abilities - Attention to detailPreferred Skills- Experience in international shipping - Understanding of FBA process - Knowledge of HS codes and customs clearance - ERP software experienceKey Performance Indicators (KPIs)- Timely processing of Amazon export shipments - Error-free documentation - On-time supplier coordination - Accurate inventory tracking - Reduced shipment delays - Proper maintenance of compliance records
