About the Role We’re looking for a highly organized, proactive Executive Assistant to support two founders in a fast-paced digital marketing and web development agency. Your role is to remove operational friction, manage communication, and keep the founders focused on high-impact tasks. You should think ahead, follow up relentlessly, and handle day-to-day tasks with minimal supervision. Key Responsibilities 1. Calendar & Scheduling Manage founders’ calendars end to end Schedule interviews, internal meetings, client calls Block time for priority tasks Send reminders and ensure meeting readiness Maintain a predictable weekly rhythm 2. Communication Management Draft and send emails/WhatsApp messages on behalf of founders Filter important vs non-important messages Follow up with leads, candidates, team members Maintain a communication tracker 3. Hiring & HR Coordination Manage hiring pipelines on Naukri/LinkedIn/Indeed Screen candidates for basic fit Schedule interviews and coordinate with HR Maintain hiring sheet and statuses Follow up for documents, joining formalities, and confirmations 4. Operations Support Track tasks across SEO, PPC, Web Dev, HR Maintain weekly task-status sheet Ensure deliverables are on time Coordinate between founders and team to reduce back-and-forth Prepare daily and weekly summary reports 5. Client Coordination Assistance Schedule calls with clients Follow up on required inputs Maintain client data sheets Prepare basic reports using templates Ensure smooth onboarding steps are completed 6. Documentation & Information Management Organize Google Drive / internal documents Maintain SOPs, policies, and templates Track subscriptions, tool renewals, passwords (securely) Create structured folders/sheets to reduce clutter 7. Research & Preparation Conduct basic research: competitors, tools, candidates Prepare summaries of content (videos, articles, documents) Create drafts of presentations, proposals, and reports 8.
