Nothing is not my work and we go above and beyond to ensure quality and impact Transparency: We communicate transparently, especially when stakes are high and act consistently across situations and peopleRole OverviewThe Archivist is responsible for maintaining accurate and comprehensive records of all artworks managed within the Mumbai gallery. This role ensures that every artwork is properly documented, tracked, photographed, and condition-checked in alignment with Nature Morte’s archival and preservation standards. The Archivist works closely with the central archive team in New Delhi, the curatorial team, sales, and operations to ensure consistency, transparency, and integrity in all artwork-related information.Key Responsibilities1. Artwork Documentation & Inventory Management• Maintain meticulous digital and physical records for all artworks (images, materials, dimensions, dates, provenance, storage details).• Create and update checklists, condition reports, installation notes, and movement history.• Upload and manage all artwork data in the inventory system with 100% accuracy.• Ensure timely documentation for new arrivals, sales, loans, and internal transfers.2. Archival Coordination (Mumbai and Delhi)• Serve as the primary documentation liaison between the Mumbai gallery and the central archive team.• Share regular updates on artwork movements, new documentation, and condition concerns.• Ensure all archival standards and protocols are upheld consistently across both locations.3. Artwork Intake, Movement & Record Updates• Document all artwork movements (incoming, outgoing, storage, exhibitions, fairs, loans).• Prepare required documentation such as packing lists, movement orders, and inward/outward registers.• Work with operations and logistics teams to ensure movement details are accurately recorded.4. Condition Reporting• Conduct condition checks for artworks during intake, pre-exhibition, post-exhibition, and prior to shipping.• Update and maintain detailed condition reports and notify the Associate Director and archive team of any concerns.• Ensure proper handling protocols are followed to minimize risks.5. Storage Organization & Archival Integrity• Maintain an organized artwork storage space in the Mumbai gallery with correct labelling and categorization.• Coordinate with the operations team to ensure proper storage conditions (clean, secure, and systemised).• Assist in inventory audits and cross-location reconciliations.6. Cross-Functional Collaboration• Support curatorial, sales, and communications teams by providing accurate artist and artwork information for: Press releases, Sales decks and price lists, Wall texts and labels, Exhibition checklists, social media and publication need and ensure all shared documentation aligns with the official archive.Goals of the Role• Build a transparent, accurate, and centralised documentation system establish error-free, reliable archival practices that ensure every artwork’s data is instantly accessible and verifiable.• Strengthen coordination between the Mumbai gallery and the central archive enable seamless communication, aligned documentation standards, and consistent preservation practices across locations.Ideal Candidate Profile• Bachelor’s or Master’s degree in Art History, Museum Studies, Archival Science, Fine Arts, or related fields.• 1–3 years of experience in an art gallery, archive, museum, or cultural institution.• Strong understanding of documentation systems, artwork handling, and condition reporting.• Familiarity with digital inventory tools or gallery management software.• Excellent organizational and record-keeping skills.• Strong communication skills and a high attention to detail.• A deep respect for the integrity of artworks and archival accuracy.
