Operating pan-India, Grace delivers luxury, scale, and technical rigor to hospitality, healthcare, residential, and commercial sectors, with a legacy of flawless execution, repeat clientele, and robust internal systems.Role Overview:The Admin Billing Assistant will support the Billing & Accounts Team by handling documentation, billing workflows, vendor/client coordination, and record maintenance across multiple fast-paced interior projects. This position demands high accuracy, strong process orientation, and proactive communication to support seamless cashflow and reporting.- Key Responsibilities:Billing Support - Assist in preparing client invoices as per project BOQs, measurement sheets, and work orders. - Collate, verify, and file all supporting documents (measurement books, site photos, work completion certificates, etc.). - Track submitted invoices, follow up for approvals, and update status trackers daily. - Liaise with the project team to clarify scope, extra items, or billing disputes. - Vendor Coordination - Process subcontractor/vendor bills: collect, verify, and forward to accounts. - Reconcile vendor invoices against PO/WO and site progress. - Maintain registers/logs for vendor advances, payments, and retentions. - Documentation & Compliance - Maintain hard and soft copies of all billing-related documents as per ISO protocols. - Ensure timely scanning, archiving, and retrieval of billing data for audits. - Assist in preparation of MIS reports and monthly billing summaries. - Administrative Support - Data entry and regular updates of billing software/ERP. - Assist in internal/external audit queries related to billing. - Coordinate with site admin for timely submission of attendance, measurement sheets, and other documents.Other Tasks- Support accounts team in statutory compliance (GST, TDS, etc.) related to billing. - Any other administrative tasks assigned by Billing Manager or Accounts Head. - Desired Candidate Profile:Graduate (/BBA preferred); fresher or 1-2 years’ experience in billing/admin/accounts role. - Experience in interiors industry preferred. - Strong MS Excel, data entry, and documentation skills. - Working knowledge of billing/accounting software (Tally, ERP, etc.) is a plus. - High attention to detail, organizational skills, and confidentiality. - Good written and verbal communication in English and Hindi/Marathi. - Willingness to work at HO or project sites as required. - What Grace Offers:Exposure to large-scale, high-end projects and industry best practices. - Professional, merit-driven work environment with robust systems and compliance. - Opportunities for upskilling and internal growth. - Salary as per industry standards, with performance-linked incentives.
